How PetCareOps handles information
Version 2026-09-19-v1 · Updated September 21, 2026
Paid-service notice. These sections describe the information practices for U.S. paid subscriptions and the retention schedule PetCareOps applies to paid-service records. Current signup availability is shown on the subscription page.
Who handles the information
PetCareOps LLC provides subscription software to pet-care businesses. The subscribing business decides what client, pet, household, staff, applicant and care information it enters and who on its team may use it. PetCareOps manages account, subscription, security, support and service-operation records. PetCareOps does not become the pet-care provider.
Information the service handles
The service may handle names and contact details; account, invitation, role, session and authenticator records; business profile, website and domain content; client, household, pet and care instructions; requests, visits, reports, messages and uploaded files; hiring and expense records; transactional email metadata; and subscription, care-payment, support and audit records. Pet-care notes can be sensitive in context, including addresses, access instructions, medication and veterinary contacts. Stripe-hosted payment pages process card details; PetCareOps stores provider references and payment outcomes rather than full card numbers.
How the information is used
PetCareOps uses information to authenticate and authorize users; provide scheduling, care records, websites, transactional email, subscriptions and optional payment features; deliver service notices; secure, support and recover the service; document transactions and requests; and meet applicable obligations. A business's pet-care client list is not used as PetCareOps' marketing list.
Service providers and customer-controlled connections
PostgreSQL and protected media storage hold application records, with encrypted server and off-host backups. Stripe handles PetCareOps subscription payments and optional connected-account care payments. Cloudflare supports hosted website, DNS and branded email features when enabled. Corporate email and SMTP deliver account, support and transactional notices. Authorized PetCareOps operators may access information when needed for support, security and recovery. Provider terms and privacy notices also apply to their services. A customer-owned domain and Stripe account remain the customer's assets.
Retention and leaving
A verified canceled owner has 30 days of export assistance. An approved plaintext download lasts at most 48 hours and never beyond that window. Ordinary workspace data and owned media are scheduled for removal by day 60 after the paid period ends. Minimized PetCareOps billing, tax, refund and dispute evidence is kept for seven years; security and access events for one year; and support conversations for two years. Encrypted owner-export custody copies are removed by day 60. Encrypted system backups use a rolling 90-day window with at least 7 recent recovery points. A documented legal, payment, security or dispute hold can extend only affected records. A deletion ledger prevents a removed workspace from being served if an older backup is restored.
Security and account responsibilities
Workspace permissions limit ordinary access by business and role. Account protections include password controls, authenticator-based MFA support, session protections and audit records. Backups are encrypted and recovery is tested. Business owners must manage their team access, authenticators and third-party inbox, domain and Stripe permissions. No security control eliminates every risk.
Access, correction, export and deletion requests
A verified business owner can open a support ticket to request access, correction, export or deletion. Pet-care clients, applicants and staff should normally contact the subscribing business first because that business controls its workspace information. PetCareOps may verify identity and authority, coordinate with the business, preserve a narrow record under an active hold, and refuse a request that would expose another business's or user's information.
Changes and contact
Material changes use a new version and effective date and, when appropriate, a new notice or acceptance step rather than rewriting an earlier accepted record. Contact PetCareOps through the support-ticket system. Do not place passwords, full card numbers, government identifiers or unrelated private care records in a support message.
Historical access requests and support tickets
What historical request records store
PetCareOps collected access requests while preparing public subscription signup. Those records may include a name, email address, optional working business name, new or existing business choice, country, region, city, team choice, acknowledgement date, request status and administrator review actions. They do not include payment-card details.
Why we retain them and who can access them
Authorized PetCareOps platform administrators use retained request records to preserve review history, prevent duplicate provisioning and respond to correction or deletion requests. A historical request did not enroll the person in marketing email or create a paid subscription.
Corrections and deletion
To correct or delete a historical request record, open a support ticket from the address used for the request. We may need to verify that you control that address before changing a record.
Security and current signup
We use protected administrator access to limit access to historical request records. New paid customers use the secure subscription signup process and enter card details only on Stripe.
Support tickets
The support form stores the name and email you provide, topic, subject, message, acknowledgement date, ticket status, conversation messages and internal review notes. Authorized PetCareOps platform administrators use these details to investigate and answer your request. We email a confirmation and later reply notices with a private, 30-day conversation link to the address you provide. Anyone with that link can read and reply to that ticket, so keep it private. The link confirms access to the mailbox, not account identity or authority to change billing. Do not include passwords, card numbers, government IDs or private pet-care records. To request a correction or deletion, submit a new ticket from the same email address and include your reference. We may verify control of that address first.
Website acquisition and interest records
Campaign measurement
Public marketing pages create a random identifier in session storage and record each supported page once per browser session. On the subscription page, we also record whether the plan catalog loaded or failed, the trial button was selected, someone first interacted with the form, a signup was attempted, or a broad validation, conflict, service, or request error occurred. These event markers do not include form entries, selected business state, raw error text, or payment details. PetCareOps stores a server-side hash of the identifier, the page or event path, referring hostname when available, and any UTM source, medium, campaign, content, or term included in the link. If you start a trial or paid checkout, we associate that campaign information and hashed identifier with your signup. Trial attribution is carried to a later paid checkout so we can measure conversions. We do not store the full referring URL, Facebook group membership, posts, comments, or private-group content. These records help us compare signup visits, form interactions, trial attempts, and completed subscriptions.
Optional product and launch updates
The interest form stores the email address you enter, optional name and business name, business stage, selected area of interest, campaign attribution, consent version and consent time. Submitting the form gives PetCareOps permission to send the product and launch updates described beside the checkbox; it does not create an account, subscription, or charge. PetCareOps does not import group members or add people without their own submission.
Access, correction, and removal
Authorized PetCareOps platform administrators can view acquisition totals and voluntary interest submissions. To correct a submission, withdraw email permission, or request deletion, open a support ticket from the submitted address. PetCareOps removes the address from future discretionary marketing use when the request is verified and applies the approved deletion and backup schedule, subject to a legal hold or another record we must retain for billing, security, or dispute purposes.
